# Ask AI

> Ask AI is the assistant built into Scribe: what it can do, who can use it, what it never does, its limits, what happens to your conversations, and how to report a problem.

Ask AI is the assistant built into the Scribe web app. Ask it a question about Scribe, describe the signature you want, or ask it to make a change in your workspace. It answers from this help center and from your workspace's data, in the language you write in, and it asks before it changes anything.

<Info>
  Ask AI is powered by Claude, a model made by Anthropic. Like any AI, it can be wrong: the line under the message field says so, "AI can be wrong. Check before you publish."
</Info>

## Where to find Ask AI

* **The Ask AI button** sits in the bottom-right corner of every page once you're signed in. It opens a panel docked on the right of the screen, which goes full width on a narrow window.
* **The keyboard shortcut** is **⌘J** on Mac and **Ctrl+J** on Windows. It opens the panel, or brings you back to its message field. **Esc** closes the panel.
* **In the signature editor**, the Ask AI button sits next to the properties sidebar.
* **On the Smart Fields page**, an **Ask AI** button starts a conversation about smart fields.

The button is hidden while you're onboarding, checking out, or choosing a plan. Those pages show the support chat instead.

Ask AI can also open by itself, at most once a week, when it has a suggestion for your workspace. If you close it, it stays quiet for 30 days. To stop it, turn off **Open Ask AI by itself when something is worth doing** in the panel.

## What can Ask AI do?

| You ask | What Ask AI does |
| - | - |
| A question about Scribe | Answers from the help center and links the page it used |
| A question about your workspace | Reads your signatures, teammates, smart fields, folders, media library, campaigns, integrations, and analytics, then answers |
| A change in your workspace | Prepares the change and asks you to approve it before it happens |
| "Take me there" | Opens the right page, or the right section of your settings |
| A signature, in the editor | Builds it from a description, a screenshot, or pasted HTML, and edits it as you ask |
| Help from a person | Writes a message to our support team for you to send |

### Changes ask first

Outside the editor, every change shows an approval card that says in plain words what will happen, for example "Publish the signature Sales 2026 to 14 mailboxes". Nothing changes until you click **Yes, do it**. Click **No** and Ask AI doesn't try that change again in the conversation.

Ask AI can, with your approval:

* Create, edit, duplicate, and delete signatures and their variants
* Choose who gets a signature, then publish and install it. The card names how many mailboxes it reaches.
* Add and edit teammates, and sync them from your directory
* Create and edit smart fields, folders, and media library images
* Create, edit, schedule, pause, and resume campaigns that don't email your teammates

**What Ask AI changed**, at the top of the panel, lists the changes it made in the conversation, the latest first.

### In the signature editor

In the [editor](/en/editor/editor-overview), Ask AI changes the draft in front of you as you watch, so there is no approval card: every change can be undone with **Undo**. Start from one of its suggestions, **Describe the signature you want**, **Build it from a screenshot**, or **Rebuild it from pasted HTML**, or write your own request. Ask AI never publishes from the editor: you publish when the design is right.

### Help from our support team

Ask for a person, ask about billing or a legal matter, or let Ask AI fail twice at the same question, and it hands you over to our support team. It writes a short message summing up the conversation and opens the support chat with it, so you don't have to explain again. You read the message and send it yourself.

## Who can use Ask AI?

Ask AI is for the **Owners and Admins** of a workspace. People with the **Member** role don't see the button. See [Members](/en/members) for what each role can do.

Ask AI is reaching workspaces gradually, so a workspace created recently may get it later than others. The button appears on its own when Ask AI is turned on for your workspace.

If Ask AI can't open, the panel tells you why:

| Message | What it means |
| - | - |
| "Ask AI is for the workspace's owners and admins." | Your role in this workspace is Member. |
| "Ask AI is not available in this workspace." | Ask AI isn't turned on for this workspace. |
| "Ask AI is down for maintenance. Try again later." | Ask AI is paused for everyone for a short while. |
| "You are offline. Ask AI reconnects once you are back." | Your connection dropped. The conversation picks up when it's back. |

## What does Ask AI never do?

Some actions stay with you, whatever you ask. Ask AI never:

* Changes your billing or your plan
* Deletes your workspace
* Manages the workspace's members or their roles
* Sets up SSO or domains
* Sends invitations or notifications to your teammates, including campaigns that email them
* Deletes in bulk

When you ask for one of these, Ask AI says it doesn't do it, then takes you to the page where you can do it yourself, or hands you over to our support team.

It also doesn't show your invoices (it opens your billing settings instead), and it doesn't connect integrations for you: it opens the integration so you can connect it yourself. Text inside the pages, signatures, or HTML it reads is treated as content, never as instructions to follow.

## What are Ask AI's limits?

| Limit | Value |
| - | - |
| Conversations per person | 30 a day. A conversation counts once, when you send its first message. |
| Use per workspace | A monthly limit, shared by everyone in the workspace |
| Images | Up to 4 per message, JPEG, PNG, or GIF, 5 MB each |
| Pasted HTML | One block per message, up to 60 KB once cleaned up |
| Where it works | The Scribe web app. Not the desktop app or the Outlook add-in. |
| Languages | Answers in the language you write in. The help center is searched in its 13 languages. |

When you reach a limit, the panel tells you when Ask AI opens again. Days and months reset at 00:00 UTC.

The panel keeps your latest conversation in this browser. There is no list of past conversations, and another browser or computer starts a new one.

## What happens to your conversations?

* **What Ask AI uses.** Your messages, the images and HTML you add, the page you're on, the workspace data it reads to answer you or to make a change, and its answers.
* **Who sees them.** A conversation is private to you, in the workspace where you started it. Other members of the workspace can't open it.
* **Who processes them.** Answers are written by Anthropic's Claude model. Anthropic is one of our [subprocessors](/en/security/subprocessors) and doesn't use your conversations to train its models. Neither do we.
* **How long they're kept.** A conversation and its images are deleted 90 days after its last message. Images you saved to your media library stay there. We also keep a record of each exchange to watch quality, cost, and errors: its content is deleted after 30 days.
* **How to delete one now.** Click **Delete conversation** (the trash icon) at the top of the panel. The conversation and its images are deleted at once.
* **How we use them.** To provide Ask AI, fix problems, and improve Scribe and Ask AI. Our team may read conversations for that purpose. Personal information is removed before any excerpt is shared in our internal tools.

<Note>
  **New conversation** starts a new conversation but doesn't delete the previous one, which is then deleted after 90 days. To remove a conversation right away, click **Delete conversation** first.
</Note>

To ask us to stop processing your information with Ask AI, email [privacy@scribe-mail.com](mailto:privacy@scribe-mail.com). Our [privacy policy](https://www.scribe-mail.com/privacy) has the full details.

## How do I report a problem?

* **Rate an answer.** Under each answer, click the thumbs up (**Good answer**) or the thumbs down (**Bad answer**).
* **Report a problem.** Under an answer, click **Report a problem**, describe what went wrong, and click **Send**. Your report reaches our team with a reference to the conversation, so you don't have to copy it.
* **Tell Ask AI.** Say something doesn't work. Ask AI asks a few questions about what happened and offers to send a report to our team. It sends nothing unless you say yes.
* **Talk to a person.** Ask for one, and Ask AI prepares a message for our support team. You can also click **Message Support** in the **Get Support** menu at any time.

If an answer fails, the panel shows "The answer could not be completed." with three buttons: **Retry**, **Help Center**, and **Message Support**.
