Signature installation statuses and errors
When you install signatures, each teammate shows an installation status so you can see whether their signature is live. This guide explains what each status means and how to fix the most common installation problems. To set up installation in the first place, see Install signatures.Installation statuses
Each teammate’s signature shows one of these statuses:- Installed: the signature is installed and active.
- Pending: the installation is in progress or waiting on the email provider. For Gmail this can take up to 72 hours. For Microsoft 365, the signature installs the first time the person composes an email, so it stays pending until then.
- Not activated: installation has not been turned on for this signature.
- Not installed: no installation has happened yet, or the provider skipped it.
- Failed: the installation was attempted but did not succeed. See the reasons below.
- Not supported: the integration cannot install more than one signature for this email, so this signature was not installed. See Multiple signatures per email.
- Access lost: Scribe has lost its connection to the integration. Reconnect the integration to restore installation. Scribe also emails workspace admins when this happens.
Why an installation fails
When a signature shows Failed, open the status to see the reason. The most common ones are below.User not found
You will see a message that the user was not found on the provider. The email address does not match a user or mailbox in the connected provider. Check that the teammate’s email exists in that provider and is spelled correctly.Forbidden or unauthorized access
You will see a message that the provider has forbidden access to this teammate’s signature. Scribe is not authorized to update this person’s signature in the provider. Reconnect the integration, make sure Scribe has the permissions it needs, and try again.Signature is too long
You will see a message that the signature is over Gmail’s 10,000 character limit. Gmail limits signatures to 10,000 characters and this signature is larger. Open the signature in the editor, remove some elements to make it shorter, then reinstall.Multiple signatures not supported
You will see a message that the provider does not handle multiple signature installations. This is expected rather than an error: that integration can only install one signature per email, so only your highest priority signature is installed.Multiple signatures per email
Most integrations install one signature per email address. If a teammate is assigned more than one signature, only the highest priority signature is installed, and the others show Not supported. You can control which one wins with Signature priority. Front is the only integration that can install more than one signature per email.Provider notes
- Gmail: installs can take up to 72 hours. If a Gmail signature stays Not installed, check that Gmail is enabled for that user in Google Workspace and that the account is active.
- Microsoft 365 and Outlook: the signature installs through Outlook the first time the person composes an email, so it shows Pending until then.
- Apple Mail and Outlook on the desktop: these install through the Scribe desktop app on the person’s computer.
