From the signature detail page, click the Teammates tab to see which teammates are assigned to this signature and manage the assignment.

Teammates table

The table lists every teammate assigned to the signature with the following columns:
  • Name — Teammate name and email. A small arrow expands the row to reveal aliases and detailed installation info per email address.
  • Information — A progress bar showing how complete their smartfield profile is (e.g., 100%, 60%). A higher percentage means fewer empty fields in their signature.
  • Integrations — Which email provider is connected (Google Workspace, Microsoft 365, or both)
  • Installations — Current installation status for this teammate (Installed, Pending, Not installed, Failed)
  • Actions — Edit teammate profile (pencil icon) or Preview their signature (eye icon)
Click the arrow next to a teammate’s name to expand their row and see installation details per email address, including aliases. Assign teammates

Click Edit Teammates Selection in the top-right corner to open the Select Teammates modal. The left panel lets you pick teammates, and the right panel shows who’s currently selected. You can assign teammates using four methods, each available as a tab: Teammates — Browse and select individual teammates from your full list. Check the box next to each name to add them. Use the search bar to find specific people. Groups — Select an entire group at once (e.g., “Sales”, “Engineering”). All teammates in that group are added. Each group shows how many teammates it contains. Administrative Units — Similar to groups, but based on organizational structure from your identity provider. Select an administrative unit to add all teammates within it. Smart Fields — Build dynamic conditions using smartfield values to automatically match teammates. For example: “If Microsoft 365 department is any of Sales, Sales & Marketing”. You can add multiple conditions to narrow down the selection. This is the most powerful option — it automatically assigns teammates based on their data rather than manual selection. [screenshot: Select Teammates modal — Smart Fields tab with condition builder] At the bottom of the left panel, a checkbox lets you auto-assign this signature to all future teammates synced from your identity provider. This means new hires automatically get the right signature without any manual action. Click Confirm Selection to save your changes.
Combining Smart Fields conditions with auto-assign is the most scalable approach. For example, you can create a signature for each department and use the condition “If Department is Sales” — every current and future Sales team member will automatically get the right signature.

Search and filter teammates

Above the table, use the search bar to find teammates by name. Click the filter icon to narrow the list. Filters are organized into four categories:
  • Email — With aliases / Without aliases
  • Information — Filled / Missing (smartfield completion)
  • Integrations — Filter by connected provider (e.g., Microsoft 365)
  • Installation — Installed / Not installed / Pending / Partially installed / Failed
Filters can be combined to quickly find, for example, all teammates with missing information whose installation has failed.

Invite teammates

When you select one or more teammates using the checkboxes, an Invite teammate button appears at the top of the table. This is used for manual installation workflows — it sends an email inviting the selected teammates to install their signature themselves. This is only relevant if you’re not using an automated integration (Google Workspace or Microsoft 365). With an automated setup, teammates don’t need to take any action.
