How does Scribe pricing work?

Scribe charges per user on a monthly or yearly basis. Choosing yearly billing saves you around 20% (the equivalent of roughly two and a half months free). You can create an email signature on Scribe without registering. If you like what you see, sign up and you’ll start on a 14-day free trial with no card required, all features unlocked, unlimited users, and unlimited signatures. Once the trial ends, choose from three plans:
  • Free — 1 to 2 users, limited features.
  • Business — From 1 to 100 users, all features included. Starts at $5/month for a single user.
  • Enterprise — Volume pricing for 100+ users, with all features plus dedicated support and onboarding.
You can upgrade to a paid plan directly from your Scribe settings. For Enterprise, book a call with our Sales team so we can make sure Scribe is the right fit.

What is a paid user?

A paid user is a teammate assigned to a signature template. If you sync 1,000 users from your email provider but only assign 500 of them to signature templates, you’re billed for those 500. Scribe charges for primary email addresses, not aliases. When a teammate’s primary email is assigned to multiple signature templates, they still count as a single paid user.

How does pricing adjust when I add or remove teammates?

Your invoice adjusts automatically. Users added beyond your current plan are billed the following month on a prorated basis. When users are removed, a corresponding deduction appears on your next invoice. For annual billing, additional users are charged monthly, giving you better control over costs. They’re prorated against your annual billing cycle.

When can I cancel my subscription?

You can cancel your monthly or yearly subscription at any time from your Scribe settings or by downgrading to the Free plan.

Can I get my subscription refunded?

Monthly and yearly plans are non-refundable.

Do you offer discounts for non-profits and education?

Scribe offers a 30% lifetime discount for nonprofit organizations, public education institutions, and open-source projects. Organizations with a “.org” domain get the discount applied automatically at checkout. Other eligible organizations can contact us via chat for a discount code.

How does billing work?

For the Business plan, payment is made by card. Scribe supports all major payment methods. For the Enterprise plan, bank transfer is also available for contracts over $20K per year.
You can set up multiple billing emails in your Scribe settings to automatically redirect invoices to your accounting software or finance department.

What happens when I deactivate a user license in my email provider?

When you deactivate a license for a user in Microsoft Entra ID or Google Workspace Directory, their signature is removed from Scribe and the user is removed from your subscription automatically.

What does “User changes during billing period” mean?

This refers to the number of users added or removed during the current billing cycle. You’ll find the breakdown in your invoices.

What does “Unused time” mean?

Unused time is the portion of your previous subscription you paid for but didn’t use.

What does “Credits” mean?

Credits from a previous subscription represent unused time. They’re deducted from upcoming invoices.

What does “Proration” mean?

Proration adjusts your invoice when changes happen mid-cycle. The amount reflects the difference between your new and previous subscription for the remaining time in the current period.

What happens if I grow past 100 users?

Scribe automatically moves you to the best plan for your team size. If you start with 80 users on the Business plan and later exceed 100, you’ll be switched to Enterprise pricing so you always pay the best rate. The updated price details will be visible in your Scribe settings.

Why did my invoice increase from last year?

Two things typically drive an increase: the number of users added during the year, and the number of users you plan to have for the upcoming year. For example, if you started with 50 users on the Business plan, your estimated yearly billing would be around 912(912 (95/month × 12 months). If you added 30 users during the year, your total reaches 80 users. The following invoice reflects the 80-user package minus what you already paid for 50. Remember that every teammate assigned to a signature template counts as a paid user — even if they haven’t installed their signature yet. Scribe charges for primary email addresses, not aliases.

Review each signature template

Go through your signature templates and look for teammates who don’t have an installed signature. In each template, open the teammates tab and check the Installation status column. Filter by “Not installed” to quickly find users you might want to remove.

Remove unneeded users

Navigate to the Assignment tab of your signature template, click the edit icon next to your current assignment type, and deselect the user from the teammates list. The user is removed from the template immediately.

Review your invoice

Open the Billing tab in your Scribe settings. Your invoice updates in real time to reflect any changes.Each invoice shows the date of issue, total amount, user count, invoice type (initial payment, renewal, or additional users), billing interval, and payment status.

If a payment fails, you can manually retry it after updating your card information.
