Teammate profile
The teammate profile is where you view and manage a teammate’s personal information, assigned signatures, and installation status. It’s also where teammates can update their own details when invited to do so.Profile overview
At the top of the profile page, you’ll find a summary card with the teammate’s name, job position, and three key indicators:- Signature installed — how many of their assigned signatures have been successfully deployed (e.g. 0/1, 2/2).
- Information — the percentage of profile fields that have been filled in.
- Last updated — when the profile was last modified. Hover to see the exact date and time.
Personal information
The profile form displays the teammate’s details as Smart Fields. Each field shows an icon indicating its data source:- Google Workspace or Microsoft Entra ID — the field is synced from your directory. It’s locked (indicated by a 🔒 icon) and can’t be edited directly on the profile. To change it, either update it in your directory and wait for the next sync, or go to Smart Fields and switch the data source to Scribe.
- HRIS — the field is synced from your connected HR system. This is useful when your directory isn’t up to date but your HRIS data is. Like directory-synced fields, HRIS fields are locked on the profile.
- Scribe — the field is stored in Scribe’s own database and can be edited directly in the input.
Show unused Smart Fields
Toggle Show unused Smart Field at the bottom of the form to reveal additional fields like Work phone number, Mobile phone number, and any custom Smart Fields you’ve created. This is useful when you need to fill in or check data that isn’t displayed by default.Signatures
The right side of the profile shows the teammate’s assigned signature preview. If a teammate has multiple email addresses or is assigned to multiple signatures, use the dropdown at the top of the Signatures section to switch between them.Microsoft users only: the signature preview includes Primary, Reply, and Internal tabs, matching the three signature slots available in Outlook.
Assign a signature
If no signature has been assigned yet, the Signatures section displays an empty state with an + Assign Signature button. Click it to open the signature picker, browse your available signature templates, select one, and click Assign Signature to confirm. You can also assign signatures in bulk from the Signatures page.Install Signature
At the bottom of the profile, the Install Signature button lets you deploy the signature to the teammate’s email client.When no integration is connected
Click the Install Signature ▾ dropdown to see the available integrations you can connect:- Google Workspace — installs via Google’s API (server-side, no action needed from the teammate).
- Microsoft Entra ID — installs via Microsoft’s API.
- Front, Outreach, Salesloft — installs to these third-party email platforms.
When an integration is connected
Once signatures have been deployed, hover over the Install Signature button to see the installation status table:| Column | Description |

Copy HTML
The Copy HTML ▾ button is always available below Install Signature. It lets you (or your teammate) copy the raw HTML of the signature to paste it manually into any email client or platform that doesn’t offer an automated integration through Scribe.Teammate view (invited teammates)
When a teammate is invited by email to complete their profile, they see a simplified version of the app. Their navigation only includes two items: Profile and Integrations. From this view, teammates can:- Edit fields where the data source is set to Scribe — they can type directly in the input.
- View but not edit fields synced from a directory (Google Workspace or Microsoft Entra ID) — these remain locked.
- See their assigned signatures and installation status.
Teammates invited to update their profile don’t have access to the full Scribe dashboard. They can only see and edit their own information.
