Nothing to install in HubSpot. If your Google Workspace or Microsoft 365 server-side installation is live, the emails your teammates send from HubSpot through their connected inbox already carry their Scribe signature.
Covered: one-to-one emails from the CRM, sequences, replies and templates sent through a connected Gmail or Outlook inbox

How it works

HubSpot does not need its own Scribe integration. When a teammate connects their Google Workspace or Microsoft 365 inbox to HubSpot, HubSpot sends their sales emails through that mailbox, using your company’s mail servers. The message then follows the same outbound path as an email written in Gmail or Outlook:
  1. A teammate sends an email from HubSpot. It can be a one-to-one email from a contact, company or deal record, a sequence step, or a reply logged in the CRM.
  2. HubSpot hands it to the teammate’s mailbox. The email leaves through the connected Google Workspace or Microsoft 365 account, not through HubSpot’s servers.
  3. Your server-side rule routes it to Scribe. The Google Workspace content compliance rule or the Microsoft 365 mail flow rule treats it like any other outbound email.
  4. Scribe adds the signature. Scribe inserts the teammate’s published signature, choosing the right variant for the context, then hands the message back to be delivered.
The recipient receives the email with the Scribe signature, the same way they would from Gmail or Outlook.

What is covered

The rule is simple: if the email goes out through a teammate’s connected Google Workspace or Microsoft 365 inbox, it gets a signature. Marketing emails and other emails HubSpot sends from its own servers never pass through your mail servers, so your server-side rule never sees them and no signature is added.
The From address must belong to a teammate whose Scribe signature is installed. If a teammate sends from an address Scribe does not know, the email goes out without a signature.

Setup checklist

Server-side installation must already be live. If it is not, set it up first for Google Workspace or Microsoft 365. IT support is required.
1

Connect each teammate's inbox to HubSpot

In HubSpot, click the settings icon, then go to General and open the Email tab. Connect the personal email address your teammate uses with contacts, which is their Google Workspace or Microsoft 365 address.HubSpot sends emails through this connected inbox, which is what lets your server-side rule add the Scribe signature.
2

Remove the HubSpot signature

HubSpot can add its own signature to the emails it sends. With Scribe installed, that would give your recipients two signatures. In HubSpot, go to Settings → General → Email, then click Manage email signatures in the Configure section. Clear the signature and click Save. Ask each teammate to do the same, or check it for them if you manage their HubSpot settings.
3

Install team signatures

From your signatures list, install all signatures at once for your teammates or install them one by one for a progressive rollout. Make sure each teammate’s email address in Scribe matches the inbox they connected to HubSpot.
4

Send a test email from HubSpot

Open a contact record whose email address you can check, such as your own personal address, and send a one-to-one email from HubSpot. Open the email in the recipient’s inbox: the Scribe signature should appear at the bottom.

How to check that it is working

The signature is added after the email leaves HubSpot, so you cannot see it in the HubSpot compose window. Always check from the recipient’s side:
  • Open the received email. The Scribe signature appears below your teammate’s message.
  • Check the email headers. In the received email, show the original message or its headers. A message processed by Scribe carries an X-Scribe-Processed header with the value Processed.
The copy of the email logged on the HubSpot record, and the one in your teammate’s Sent folder, is the version from before Scribe processed it. It does not show the signature, but the recipient always receives it.

Troubleshooting

Check these points in order:
  • The inbox is connected. In HubSpot, the teammate’s Google Workspace or Microsoft 365 inbox must be connected under Settings → General → Email. If it was disconnected, for example after a password change, reconnect it.
  • The From address matches. The address the email was sent from must be the same as the teammate’s email address in Scribe.
  • The signature is installed. In Scribe, the teammate’s signature must show as installed. See Signature installation statuses and errors.
  • It was not a marketing email. Marketing and automated workflow emails are sent from HubSpot’s servers and never receive a Scribe signature.
HubSpot added its own signature on top of the Scribe one. Remove the HubSpot signature under Settings → General → Email → Manage email signatures. If you use multiple HubSpot signatures, clear each one, including the default signature assigned to each connected inbox.
No. Marketing emails are sent from HubSpot’s own servers, not through your teammates’ mailboxes, so your server-side rule never sees them. To promote content in your sales emails instead, use a campaign banner in your Scribe signatures.
Yes. HubSpot adds its open and click tracking before the email leaves the connected inbox, and Scribe passes your teammate’s message, recipients, subject and attachments through unchanged. Clicks on links in the Scribe signature are tracked in your Scribe analytics.
